Guide · AI for your business

Where AI actually saves time in your business

AI is best at first drafts of everyday writing: quotes, replies, receipts, booking messages and notes. It drafts, and a person checks. Start with one job, not ten.

You are not the only one unsure

Almost half (47%) of UK business owners in a recent survey now use AI tools. But only 19% feel very confident using it, and 39% are not sure how it could help them.

5 jobs where AI saves time

Quotes from your own price list

Give it your price list and the customer's request. It drafts the quote using only your prices. You check every line before it goes out.

Replying to enquiries

It drafts a reply in your tone, using your usual answers about prices, dates and areas you cover. You read it and press send.

Invoices and receipts

It reads a photo of a receipt and pulls out the date, supplier and amount. Check if your accounts software already does this before paying for anything new.

Booking admin

It turns an email into a booking entry, and drafts confirmations and reminders. You check the dates and details.

Notes from calls

It turns your rough notes or a voice memo into a short summary and a to-do list. If you record a call, tell the other person first.

The pattern is the same each time: AI writes the first draft, you make the final call.

What not to use AI for

Customer data: the basics

The UK regulator, the ICO, has guidance on AI and data protection.

This is general information, not legal advice.

Where to start

  1. Pick one job

Choose the writing job that eats most of your week.

  2. Try it on 5 real examples

Use the tools you already have. A person checks every draft.

  3. Keep it or drop it

If it saves you time, keep it. If it does not, stop. Nothing lost.

Questions people ask

Where should an owner-run business start with AI?

Start with one writing job you do every week, like replying to enquiries or drafting quotes. Try it on a few real examples, with a person checking every draft, and keep it only if it saves you time.

Is it safe to put customer data into AI tools?

It depends on the tool and its settings. Put in only what the job needs, never passwords, bank details or health information, and check whether the tool uses what you type for training. The ICO has guidance on AI and data protection.

Do I need to pay for new AI tools?

Often not. The tools you already have, such as your email or accounts software, may do some of this already. Try those first before paying for anything new.
